Hotel payment processing starts with PMS compatibility
A processing offer only works when the front desk, booking flow and reconciliation process work together. Validate the entire payment path before changing a hotel’s setup.
Hotels accept payments across a longer journey than a simple retail purchase. Reservations may involve deposits, later charges, changes, cancellations and refunds. Front-desk teams also need a reliable relationship between the payment result and the guest folio.
Start with a written map of the current environment. Name the PMS, booking engine, channel manager, gateway, processor, acquiring arrangement and terminals. Record versions, regional availability and the support owner for each connection without including credentials.
Compatibility evidence
Ask a question that can be answered precisely.
Request written confirmation that new merchants can be boarded on the exact configuration today. An existing installation does not prove new boarding is open, and a new integration policy does not necessarily end support for an already-certified connection.
For Yanolja/eZee Absolute and Fortis/Zeamster, identify the precise products rather than relying on the wider Yanolja or Fortis brand. Documentation for a different PMS or POS is useful context but cannot certify your property’s configuration. Click Media does not promise support for an unconfirmed combination.
- Exact PMS and booking engine product, version and region
- Gateway, acquiring/processor route and current new-merchant eligibility
- Terminal model, provisioning and token-vault ownership
- Deposits, authorization, capture, cancellation and refund workflows
- Folio posting, duplicate prevention and reconciliation acceptance tests
- Written confirmation date and responsible vendor contacts
Guest journeys
Demonstrate the exceptions, too.
In a provider-approved test environment, walk through reservation deposits, authorizations, capture, cancellation, partial refund and reconciliation. Where supported, test authorization adjustment and no-show workflows with the required consent and provider guidance. Use test data and test instruments.
Check whether a successful payment updates the folio and how a delayed or failed update is recovered. Establish which system is the authoritative record. Repeating a charge to repair a missing status can create a duplicate-payment problem; recovery should begin with a payment-status check.
Devices and stored credentials
Treat migration as its own project.
Confirm the terminal model, software, encryption configuration, provisioning owner and connection method. A terminal that looks identical may not be usable on a different provider route. Include equipment ownership, replacement and deployment costs in the comparison.
Stored payment tokens may be scoped to a vault or provider. Obtain written confirmation of whether migration is permitted, who performs it, how it is secured and what it costs. Never export card data through ordinary email, spreadsheets or analytics to work around a token restriction.
The go-live gate
Name the people who resolve failures.
Document responsibility for gateway availability, PMS posting, terminal troubleshooting, settlements, disputes and escalation. Request support hours and a handoff procedure that does not leave hotel staff explaining the whole problem to multiple vendors.
A launch plan should include approved acceptance tests, staff training, reconciliation ownership and a recovery path. Click Media can help document requirements and coordinate verification. Provider acceptance, merchant underwriting and the confirmed technical scope come before implementation commitments.
Common questions
Practical answers before you commit.
Does TSYS access prove eZee Absolute compatibility?+
No. The exact PMS, gateway, processor route, region, certification and device configuration must be confirmed.
Can every saved card token move to a new provider?+
No. Vault restrictions, contracts, security requirements and receiving-provider capabilities determine whether a permitted migration is available.
