How to compare credit card processing fees
A lower headline rate can still produce a higher monthly bill. Start with how your customers pay, then compare the complete cost of accepting those payments.
A useful processing comparison begins with an ordinary month of business. A coffee shop with many small purchases and a consultancy collecting a few large invoices face different economics. The same advertised percentage can hide that difference because a fixed transaction fee takes a larger share of a small sale.
Use a consistent period and scope. Identify card sales, transaction count, average ticket, refunds, international cards and the share accepted in person versus online. Record unusual seasonal activity so one busy month does not become the forecast for the year.
The three common models
Read the pricing structure before the rate.
Flat-rate pricing applies the quoted schedule to defined transaction categories. It can make estimates simpler, but online, keyed, international and other categories may still have different charges. Read what is included and what is billed separately.
Interchange-plus separates underlying interchange and network costs from the provider markup. It can make the markup easier to inspect, but the final cost still varies with the cards and transaction data. Tiered pricing groups transactions into categories whose definitions and downgrade rules need to be understood.
One comparable calculation
Build a complete cost worksheet.
For each provider, calculate percentage fees on the applicable sales, fixed fees on the applicable transaction count, and recurring charges over the same period. Add gateway, software, terminal rental, statement, annual and noncompliance charges where the proposal includes them.
Divide total included processing costs by card sales for the period to produce an effective cost percentage. Label the numerator: a calculation excluding equipment or chargebacks answers a different question from a total cost calculation. Refund treatment, authorization fees on declined transactions and billing timing also deserve their own rows.
- Card sales and transaction count for the same period
- Percentage and transaction charges, with the applicable transaction categories
- Gateway, software, account, equipment and annual costs
- Refund, dispute, authorization and other exception charges
- Renewal, cancellation, equipment return and migration terms
- Evidence source, quote date, assumptions and unresolved questions
Operating fit
Include the cost of daily work.
A terminal that does not update the business software can create manual reconciliation every evening. Record staff time, errors and exceptions separately from provider fees. Do not claim those costs disappear until the proposed integration has been demonstrated in your workflow.
Ask how deposits, reserves, chargebacks and refunds appear in reports and who handles support when an expected deposit is missing. Funding eligibility and timing should be documented for the actual merchant, not inferred from a marketing headline.
Before a decision
Get the proposal and agreement to agree.
Match the pricing sheet to the merchant agreement, equipment arrangement and gateway terms. Review renewal, cancellation, equipment return and price-change provisions. A promotional waiver is useful only when its duration and conditions are clear.
Click Media can help organize requirements and compare proposals. Start a consultation with your sales channels, business software and operational priorities. Do not put card numbers, bank details or unredacted statements into a general inquiry form. A secure document-review method can be agreed separately.
Common questions
Practical answers before you commit.
Is interchange-plus always cheaper?+
No. Total cost depends on card and transaction mix, provider markup, fixed charges, equipment and operating requirements.
What is an effective processing rate?+
It is a defined set of processing costs divided by the matching card-sales amount for the same period. State which charges are included.
